How It Works

Our client intake process is split into two forms — one captures your company profile (completed once), the other captures the details of each specific tender you want us to write. Together, they give us everything we need to hit the ground running.

Step 1

Client Onboarding

New clients start here. This one-time form captures your company profile, insurances, prequalifications, management systems, financial capacity, past projects, key personnel, and plant register. It takes 30–45 minutes and you only need to do it once.

Have these documents ready:

  • Insurance Certificates of Currency (PL, PI, Workers Comp)
  • Prequalification certificates (TfNSW, VicRoads, QPP, ICN)
  • Capability statement (PDF)
  • Key personnel CVs
  • Plant & equipment register
  • ISO certifications (9001, 14001, 45001 — if held)
  • Details of 3–5 past projects with referee contacts

One-time form · 10 sections · ~30–45 minutes

Step 2

Per-Tender Brief

Existing clients use this for every tender. This shorter form captures the specific tender details — buyer, closing date, scope, evaluation criteria, your competitive advantage, and the documents we need to write your response. Takes 10–15 minutes per tender.

Have these tender documents ready:

  • Request for Tender (RFT) document
  • Conditions of Tender
  • Specification / Scope of Works
  • Pricing Schedule (Excel or PDF)
  • Drawings and site plans
  • Any addenda or amendments issued

Repeating form · 7 sections · ~10–15 minutes per tender

What Happens After You Submit

After Onboarding (Form 1)

  1. We review your company profile, prequalifications, and insurances
  2. Within 2 business days, we call to confirm everything and discuss your first tender
  3. Your profile is on file — you never need to re-submit company details again

After Each Tender Brief (Form 2)

  1. We review your brief and tender documents within 24 hours
  2. You receive a kick-off call to confirm scope, timeline, and strategy
  3. First draft delivered by your requested date (typically 3–10 business days)
  4. Review rounds, revisions, and final submission per your service tier

Lead Times

To deliver the quality your tender deserves, we need adequate lead time before the tender closing date:

Standard ($2,200)

Submit your brief at least 7 working days before tender close. Turnaround: 7–10 business days.

Government ($3,500)

Submit your brief at least 10 working days before tender close. Turnaround: 5–7 business days.

Complex ($6,250)

Submit your brief at least 14 working days before tender close. Turnaround: 3–5 business days.

Frequently Asked Questions

Why two forms instead of one?

Your company profile (insurances, prequals, personnel, past projects) stays the same across tenders. By capturing it once, we save you from re-entering the same information every time you bid. The per-tender brief captures only what changes: the specific tender, buyer, scope, and deadline.

How long does each form take?

The onboarding form takes 30–45 minutes (one-time). The per-tender brief takes 10–15 minutes. Have your documents ready before you start — the forms include file upload fields so you can attach everything in one go.

What if my details change (e.g. insurance renewal, new prequalification)?

Email us your updated documents at info@tenderbuilt.com.au and we will update your file. You do not need to re-submit the full onboarding form.

Is my information secure?

All form submissions and uploaded documents are stored securely on our Australian-hosted infrastructure. Financial information is held in strict confidence and used only for tender-related purposes. We never share your data with third parties.
