Frequently Asked Questions

Everything you need to know about TenderBuilt’s tender writing services, our process, pricing, and how we help civil construction businesses win more government contracts.

About Our Services

What is a tender writing service?

A tender writing service involves a professional consultant preparing your formal written response to a Request for Tender (RFT), Request for Quote (RFQ), or Expression of Interest (EOI) issued by a government body or local council. The consultant reviews the procurement documents, prepares compliant written responses to all evaluation criteria, and delivers a submission-ready document.

How much does tender writing cost in Australia?

Tender writing costs vary depending on the complexity and size of the tender. Simple council tenders in the $50K–$200K range typically cost less to write than complex government tenders worth $500K+. TenderBuilt charges transparent fixed fees with no hidden costs. Contact us for a free scope assessment and quote — we’ll review your tender documents and give you a clear price before you commit.

How long does tender writing take?

Most tenders take 5–15 business days to write, depending on complexity and the number of evaluation criteria. If you have a tight deadline, contact us immediately — we offer expedited services for urgent submissions. Always provide us with as much lead time as possible for the best result.

What is included in your tender writing service?

Our tender writing service includes: review of all procurement documents (RFT, RFQ, specifications), compliance matrix preparation, written responses to all evaluation criteria, pricing narrative support, capability statement integration, WHS and environmental management content, and final formatting and submission review. We work with you to capture your company’s specific experience and capability.

Do you guarantee we will win the tender?

No reputable tender writing firm can guarantee a win — government procurement is competitive and outcomes depend on many factors including price, incumbent relationships, and evaluation panel decisions outside our control. What we do guarantee is a professionally written, fully compliant response that gives you the strongest possible chance of winning.

Process and Working Together

How does the process work?

1. You send us the tender documents and we provide a free scope assessment. 2. We agree on scope, fee, and timeline. 3. We send you a capability questionnaire to capture your company’s experience, team, and relevant project history. 4. We draft the tender response and share it with you for review and feedback. 5. We finalise the document to submission-ready standard. 6. You review and submit. We’re available to answer questions right up to lodgement.

What information do you need from us?

We typically need: the tender documents (RFT/RFQ), your company profile and ABN, relevant project experience (past 5 years), key personnel CVs, plant and equipment list, insurance certificates, WHS documentation, and any existing capability statements. We’ll send you a structured questionnaire to make this easy.

Can you write a tender at short notice?

Yes — contact us immediately if you have an urgent submission. We can often accommodate tight deadlines for an expedited service fee. The sooner you contact us after receiving a tender, the better the outcome. We do not recommend starting a tender response less than 5 business days before the closing date.

Do you work with businesses outside NSW?

Yes. TenderBuilt works with civil construction businesses across NSW, QLD, and VIC. All our services are delivered remotely — we work via email, phone, and video call. Geographic location is no barrier to working with us.

Industry and Specialisation

Do you only work with civil construction companies?

Yes. TenderBuilt works exclusively with civil construction and infrastructure businesses. This specialisation means we understand your industry deeply — the terminology, the procurement frameworks, the evaluation criteria that government bodies use for civil works, and the specific compliance requirements for construction tenders. We do not work with unrelated industries.

What types of contracts do you help win?

We help civil contractors win: local council civil works contracts (road maintenance, drainage, footpaths, parks), NSW Government infrastructure contracts, state government maintenance panels, Transport for NSW subcontracts, water utility tenders, and federal government construction contracts through AusTender.

Can you help with prequalification applications?

Yes. Many government contracts require prequalification before you can bid. We prepare prequalification submissions for NSW Government contractor panels (ProcurePoint), the Infrastructure NSW prequalification scheme, and other state and federal panel registration processes.

Pricing and Retainers

Do you offer retainer packages?

Yes. Our retainer packages are ideal for businesses that submit 3 or more tenders per month. A monthly retainer provides a fixed allocation of hours for tender writing, bid management, and bid library maintenance. Retainers deliver better value than per-tender pricing and ensure continuity — we get to know your business deeply, making every submission stronger.

How is pricing structured — fixed fee or hourly?

We charge fixed fees for individual tender writing and review engagements so you know exactly what you’re paying before we start. Retainer packages are priced as a monthly fee for a set number of hours. We believe in transparent pricing and publish our approach openly — no surprise invoices.

Is tender writing tax deductible?

In most cases, yes — professional services costs incurred in the course of pursuing business income are deductible. We recommend confirming with your accountant, as deductibility depends on your individual business circumstances.
