How TenderBuilt uses AI

TenderBuilt is AI tender writing for civil contractors. This page says which jobs use an AI model, what a model is sent, how every claim in a draft is checked, and who decides. Last updated 14 October 2026.

Which jobs use a model

  • Reading what you upload — certificates, CVs, plant lists and past submissions — to propose details for you to confirm.
  • Analysing a buyer’s document (an RFT, an EOI or a prequalification application) to find its requirements, build a checklist and flag clauses about AI or disclosure.
  • Drafting a section from your confirmed records, your approved wording and your voice.
  • Checking a draft: matching each factual claim in it to the record it came from.
  • Rewriting a passage you select.
  • Reading your logo, fonts and example pages to build your brand kit, and learning your voice from your approved text and any past submissions you choose.

Everything else — the records, the expiry calendar, the schedules and the exports — is ordinary software, not a model.

What a model is sent

  • Only what the job needs, for your workspace only. A model is never given another business’s data, a record you have not confirmed, or a file you have flagged as not for model processing.
  • For drafting, that is TenderBuilt’s writing guide, your voice and brand notes, and the confirmed records, approved library wording and pages of the buyer’s document that the section needs. A referee’s contact details are never sent for writing.
  • A document that is read whole, including a past submission you choose for voice or brand, goes to the provider with everything printed on its pages. When you choose one, we suggest leaving out CV, referee and financial pages.
  • The buyer’s own words are passed to the model as data, never as instructions, and an instruction hidden in an RFT is flagged and ignored.

Who provides the models, and where

TenderBuilt uses Anthropic’s Claude models through Anthropic’s commercial interface, under terms that exclude training on customer inputs. Your content never trains a model. Which model does which job is a setting that changes from time to time, within the providers and regions we have listed.

Anthropic may process what we send outside Australia, which we disclose as a cross-border disclosure under the Australian Privacy Principles. We are working towards processing in an Australian region. We will not add or replace a provider, platform or region without telling client administrators first. Before any design partner drafts, our privacy policy will name each model in use, where it processes and how long its provider keeps what it is sent, and we review that list at least once a year and whenever a model changes.

How every claim is checked

  • A draft is written only from the records and wording it is given.
  • A second pass then finds every factual claim in the draft — a project, a value, a date, a ticket, a statistic — and matches it to its source before you read it.
  • A claim that does not match is flagged, with what the record actually says. A fact TenderBuilt does not hold is marked as a gap for you to fill, never invented.
  • If a record a claim rests on later changes, expires or is deleted, the claim is flagged again.

A draft can still contain an error. The check narrows the risk; it does not remove it, which is why a person reads every section.

A person approves every section

A named person at your business reads and approves every section before it can be exported as a final copy. TenderBuilt does not lodge anything for you, and it makes no promise about the result of any tender. When a buyer asks how a response was prepared, you can say:

This response was prepared with TenderBuilt, an AI drafting tool. Every factual claim was checked against our confirmed records, and every section was reviewed and approved by a named person at our business before it was submitted.

Some buyers restrict the use of AI tools or the sharing of tender documents with third parties. TenderBuilt flags those clauses when it reads the document and holds drafting until a client admin has read and acknowledged them. A document you flag as not for model processing is never sent, and is then neither analysed nor drafted from. Complying with a buyer’s rules stays with you.

Who can see your drafts

  • Only your people. TenderBuilt staff cannot open your workspace unless you give access for a job you have asked for, and that access ends by itself.
  • Our logs keep references, counts and costs, never your text. To help with a support case, and only with your client admin’s permission, we can capture the text involved; the capture is limited to that case and deletes itself after seven days.
  • You can export every record, document and draft whenever you like, in open formats.
